Oo Spa is a high-end Japanese-inspired spa and barbershop that offers a sanctuary for men and women where they can unwind, relax and experience the gold standard of Japanese beauty and wellness in a nature-influenced setting. The barbershop provides ultra-luxe Japanese-style grooming services, including haircuts, shaves, hand and foot repairs and shoeshine services, in a stylish and enjoyable environment dedicated to men. The day spa offers clients a holistic approach to beauty in achieving a balance between the mind, body and skin. It is catered to both men and women and offers high-end, natural Japanese skincare products which are from the Myufull line of products directly from Japan. Oo Spa is the first North American open concept, self-serve beauty spa and ultra-luxe Barber shop of its kind.

Spa Concierge Position:

Oo Spa is currently growing and have an opening for a bright and driven Spa Concierge to be part of the front-line of our business. Oo Spa prides itself in providing the highest level of customer service as part of our business model. As the Spa Concierge, you will be setting the initial tone for the clients’ experience. Oo Spa is seeking a mature, honest, responsible, reliable, enthusiastic, and professional individual with exceptional communication skills. This is a full time position. Weekend availabilities are mandatory.

Role Duties and Responsibilities:

Proven leadership ability. Understands leading by example in all aspects of the role
Must be comfortable with multiple roles
Stay current on industry standards, best practices, and trends, and develop service menus and treatment protocols
Assist in managing the scheduling of all staff in a manner to reduce excess staffing costs
Lead and assist in the development of the team of employees including hiring, on-boarding, training and development, and project manager of various tasks related to the business of Oo spa
Prepare, recommend, and analyze the spa’s budget, goals, and objectives to maximize profits
Assist in developing marketing strategies, promotions, packages
Manage vendors and manage monthly membership programs (including reporting) related to products, promotions, and services
Assist with retail ordering, create purchase orders, receive products, perform monthly counts
Coordinate systems and manage all client reviews, surveys, and concerns so that they are addressed within a 24-hour period or less
Builds positive and effective relationships and partnerships with fellow employees, colleagues, supervisor, and clients
Understands and upholds all loss prevention and inventory management policies on a consistent basis, and ensures total team adherence to these same policies
Ensures both personal and team comprehension of all communication and training materials, and timely/accurate completion of all assigned operational tasks
Emphasis and priority set on Product, Membership, and Service sales
Reschedule and follow up patients that do not show up for appointments
Oversight of VIPs and relationship building with High Value guests
Ensure staff hours are calculated and submitted 24 hours prior to payroll
Open and close cash drawer
Assist in developing and implementing company policies, guidebooks, and manuals for training and hiring
Welcome and provide a personalized greeting for each client that enters the spa.
Assisting with inventory oversight and product display in Spa
Signing for all deliveries
Assisting in managing and scheduling system for overall cleanliness & maintenance of Spa
Completing reminder calls and emails to guests who are scheduled for next 48 hours
Utilizing the CRM system to know which beverage each client usually likes, the appointment they are attending for, and providing the client with the warmest of greetings.
Oversight of VIPs and relationship building with high value guests
Greeting clients via the incoming telephone calls and providing knowledgeable information about the products and services available
Utilizing the CRM system to efficiently manage all appointments
Assist guests in choosing the right products and memberships based on their needs
Emphasis and priority set on Product, Membership, and Service sales
Escorting clients to and from the respective areas based on their appointment
Print and organize promotional materials for the Spa
Open and closing duties, including any next day preparation
Sorting through office mail daily
Reschedule and follow up with guests that do not show up for appointments
Monitor and respond to company emails, participate in discussions, and offer solutions

Similar role, more than 10 years
High-end hotel experience and/or luxury spa experience
Exceptional communication skills, both verbal and written
Comfortable with multiple software systems
Education/Experience in business development, social media, and/or marketing would be an asset
Job Types: Full-time, Part-time
Part-time hours: 30 per week

Salary: $25.00-$35.00 per hour
